Detailed Event Booking Rates and User Fees for Milken Institute School of Public Health (SPH) Events (2024-25)

The Milken Institute School of Public Health (SPH) at George Washington University provides a variety of venues for hosting events. The event booking rates and user fees for the year 2024-25 are categorized based on the type of event and the affiliation of the hosting entity. This guide details the costs and additional charges to help you plan and budget for your event effectively.

Event Classifications:

The SPH events are classified into four categories:

  • Internal: Events hosted by SPH students, faculty, or staff. Internal events with at least 75% SPH-affiliated attendees are exempt from booking fees.
  • University: Events hosted by a GW department or student organization. If less than 75% of attendees are GW-affiliated, the event is considered external.
  • Sponsored: University events in collaboration with external entities. If less than 75% of attendees are GW-affiliated, the event is considered external.
  • External: Events hosted by non-GW entities, including the GWU Hospital & Medical Faculty Associates (MFA).

Daily Booking Rates:

These rates apply for full-day bookings (maximum 8 hours, including setup and cleanup).

Note: SPH departments and student organizations are not charged rental fees if the event has at least 75% SPH-affiliated attendees.

Required User Fees & Additional Booking Charges:

  • Weekends: $250 for internal events, $500 for non-SPH events.
  • Space Holds: 50% of the daily rate for holding a space the day before an event.
  • Early/Late Access: $100 per hour for access outside regular hours.
  • Layout Changes: $100 fee for changes in layout after setup.
  • Additional Time: $100 per hour for events exceeding the eight-hour limit.
  • Storage: $100 per day for storing materials, external furniture, or property after the event.

Event Modifications & Cancellations:

  • Modifications/Cancellations > 30 days prior: $100 fee.
  • Modifications < 30 days prior: 25% of the daily rate.
  • Cancellations < 30 days prior: 50% of the daily rate.

Payment & Billing:

  • Internal Payments: Costs owed by GW schools, departments, and student organizations must be paid via transfer after the event.
  • External Payments: Payments by external groups must be submitted by credit card or check sent by certified mail, and paid in full prior to the event.

SPH Events reserves the right to add fees for unauthorized space access and policy violations. Groups or clients with outstanding payments will not be authorized to use the licensed space until all dues are cleared.
